SO/C.Music (“SO/C.Music,” “we,” “us,” or “our”) respects the privacy of people who interact with our website, events, marketing, digital platforms, and services.

  • Marketing and communication information — marketing consent, communication preferences, opt-outs, campaign attribution, promotional interactions, advertising interactions, and records reasonably necessary to demonstrate consent.
  • Website and technical information — IP address, browser/device type, operating system, approximate location derived from IP, referring pages, pages viewed, access time, website interactions, campaign/referral parameters, and cookie, analytics, or similar identifiers.
  • Voluntarily submitted information — information supplied through inquiries, applications, DJ/artist submissions, vendor inquiries, sponsorship inquiries, event communications, or other interactions.

Payment-card information may be processed directly by third-party payment or ticketing providers. SO/C.Music does not intend to independently store complete payment-card numbers when payment processing is handled by those providers.

4. How We Collect Information

Information may be collected directly from you; through our website, forms, registrations, ticketing and event platforms, CRM systems, email or other business communications; through advertising and analytics technologies; through social-media interactions; from service providers acting on our behalf; from referral or campaign links; or where otherwise permitted or required by law.

We seek to identify the purpose of collection at or before the time personal information is collected when required.

5. How We Use Personal Information

SO/C.Music may use personal information to operate and maintain our website; administer events; process or reconcile registrations and transactions; communicate important event information; respond to inquiries; provide customer support; maintain customer and business relationship records; manage DJ, artist, venue, vendor, sponsor, and partner relationships; measure marketing and event performance; understand website and campaign activity; improve services and communications; attribute registrations or transactions to campaigns; prevent fraud and security incidents; maintain accounting and business records; comply with legal obligations; and send marketing communications where permitted by law.

We will not use personal information for a materially different purpose without obtaining additional consent where consent is legally required.

6. CRM and Relationship Management

SO/C.Music may use customer relationship management technology, including HubSpot, to organize legitimate business relationships and interactions. CRM records may contain contact information, communication history, event relationships, transaction or registration information, business classifications, marketing preferences, and other information reasonably necessary to maintain the relationship.

The existence of publicly available contact information, an event registration, a ticket purchase, or inclusion in a platform-provided list does not automatically mean an individual has consented to unrestricted marketing communications.

7. Email, SMS and Electronic Marketing

SO/C.Music seeks to comply with CASL and other applicable electronic-marketing requirements. Where consent is required before sending a commercial electronic message, we will seek the required consent or rely on another lawful basis or exception permitted by law.

Where applicable, commercial electronic communications will provide appropriate sender identification and an unsubscribe mechanism. Individuals may withdraw marketing consent using the unsubscribe method provided or by contacting SO/C.Music.

Withdrawal of marketing consent does not necessarily prevent non-promotional communications reasonably necessary to complete a transaction, provide requested information, administer an event, address security matters, or satisfy legal obligations.

8. Cookies and Similar Technologies

Our website may use cookies, pixels, tags, analytics technologies, local storage, and similar technologies to operate website functionality, remember preferences, maintain security, understand traffic, measure campaign effectiveness and conversions, determine how visitors reached the website, improve performance, and support advertising and audience measurement.

SO/C.Music may use third-party platforms such as Eventbrite and other ticketing, event-management, or registration providers. When an individual purchases a ticket or registers through a third-party service, that provider may independently collect and process personal information under its own terms and privacy practices.

SO/C.Music may receive information reasonably necessary to administer the event, reconcile transactions, communicate with attendees, conduct legitimate business reporting, and measure marketing performance. Information obtained from a ticketing or event provider will not automatically be treated as unrestricted marketing consent.

SO/C.Music relies on third-party providers for functions that may include website hosting, CRM, ticketing, payment processing, analytics, advertising, email and communications, cloud storage, cybersecurity, accounting, and business productivity services.

Providers within our digital operations may include HubSpot, Google, Meta, Eventbrite, and other providers introduced as our systems evolve. These organizations may process information according to their own privacy policies and contractual obligations.

12. Cross-Border Processing

Some service providers may store or process information outside Alberta or Canada. Personal information may therefore be subject to the laws of the jurisdiction where it is processed and may be accessible to courts, law-enforcement agencies, or governmental authorities where legally authorized.

SO/C.Music remains responsible for personal information under its control in accordance with applicable privacy legislation.

Sponsored, endorsed, collaborative, or promotional content will be identified where disclosure is required by law or applicable advertising standards.

14. Consumer Transactions

Where SO/C.Music sells tickets, products, services, or other offerings directly to consumers, material transaction information will be presented in accordance with Alberta’s Consumer Protection Act and other applicable requirements. We seek to present the total attainable price before purchase, apart from taxes or charges imposed by law, and to clearly disclose significant restrictions, payment terms, delivery or performance details, refund or cancellation terms, and business contact information.

15. Consent

SO/C.Music seeks meaningful consent for the collection, use, and disclosure of personal information where consent is required. The form of consent may depend on the sensitivity of the information, the purpose, reasonable expectations, method of collection, and applicable law.

We will not make consent to unnecessary collection, use, or disclosure a condition of receiving a product or service where doing so would be inappropriate or prohibited. Individuals may withdraw consent subject to legal, contractual, and reasonable notice requirements.

SO/C.Music maintains a presence on third-party social-media platforms. Information submitted directly to those platforms is also governed by the platform’s privacy practices.

Interactions with SO/C.Music through social media may become part of our business communications where reasonably necessary to respond to an inquiry, manage a professional relationship, administer an event, or maintain appropriate business records.

Our website may contain links to third-party websites and services. SO/C.Music is not responsible for the independent privacy practices, content, or security of third-party websites we do not control.

24. Automated and Data-Assisted Systems

SO/C.Music may use software, automation, analytics, or artificial-intelligence-assisted tools to support business operations, communications, marketing analysis, organization, and administration. Where personal information is processed using such technologies, SO/C.Music remains responsible for handling that information in accordance with applicable privacy obligations.

SO/C.Music may update this Privacy Policy as our website, technology, services, events, or legal obligations change. The current version will be identified by the “Last Updated” date above.

Continued use of our services does not replace obtaining new consent where applicable law requires additional consent for a materially different collection, use, or disclosure.
